Creating Contact Tasks
Selecting Contacts on the Contacts list and then selecting Create Task from the Bulk Contact Operations menu allows you to create a Task for the Contacts you have selected using the Activity Editor, illustrated below, which is located within the Calendar portion of the application beneath the Home tab.Activities are displayed on your Dashboardon an Activities list, where you have the option to Defer or Dismiss individual Activities on the list as well as List Contacts or open Contacts for the individuals associated with specific Activities. Follow the steps below to create a Task.
- Enter a subject for the Task in the Subject text field.
- Select a start time for the Task by using the Calendar icon to select the date and make selections from the Hour, Minute and AM/PM lists in the Start fields.
- Select an end time for the Task by using the Calendar icon to select the date and make selections from the Hour, Minute and AM/PM lists in the End fields.
- If you would like to send a reminder to the recipients of the Task before it is scheduled to take place, enter a number in the first Reminder text field and make a selection from the Reminder list. Available options are Minutes, Hours, Days or Weeks.
- Enter a location for the Task in the Location text field.
- Select the Task Type from the Type list. Available options when the Task is initially created are To-Do, Sales Call and Meeting. Follow-Up, Lead Assignment and Unassigned Leadare auto-generated functions, such as when a lead comes into the system and is automatically assigned to you.
- Set a priority for the Task by making a selection from the Priority list. Available options are Low, Medium and High.
- Set a status for the Task by making a selection from the Status list. Available options are Ready, In Progress, Completed, Delayed and Postponed.
- Use the provided word processor to compose the body of the Task’s details.
- Select the Project with which the Task is associated from the Project list.
- If necessary, change the Owner of the Task by clicking Change and entering a different Owner’s name in the Ownertext field.
- Select the Privacy checkbox if you want the attendees being included in the Task to connect to it using 1To1ME.1to1MEis a Discussion Space where you can Connectwith your team to exchange ideas, files and more. It is called an Activity, but isn’t always a true meeting where all participants gather at one time (but of course it can be). It’s more of a place than an actual appointment.
- When the Task nears its start time, Task Reminder Notification Email message will be received by all of the Contacts associated with the Task.
- Click the Click Here to View It link in the image above to display the following screen.
- Click Get Connected on this screen to display the Login screen illustrated below.
- Enter your Login Credentials on the Login screen to display the 1To1ME screen, which displays the Task details:
- Within the Activity Files portion of the screen, add a new file to the Task by selecting Choose File to locate that file on your computer and click Upload Your File to add it to the Task, if necessary.
- You will receive confirmation of the successful upload in an Email message, as shown in the following illustration. Select the Click here to see it in 1to1me link to re-visit 1To1ME.
- In the Activity Discussion portion of the screen, enter comments in the Join the Discussion text box and click Post a Comment, as nessary for beginning or participating in a Task-related discussion.
- Click Attendees at the top rightof the screen to add additional attendees to the Task, as shown in the following illustration.
- Search CRM3® for additional attendees by entering their name in the Search text field or click Add a Contact to add an additional Contact using the Add Contact dialog, illustrated below.
- Enter the Contact’s first name in the First Name text field, their last name in the Last Name text field and their Email address in the E-Mail Address text field. Then select the project associated with the Task from the Project list and click OK to add the Contact as an attendee and return to the Task Editor.
- Click Details to return to the Task Details screen and then click Save the Task or click Cancel to exit the Task Editor without saving the Task
