Selecting Contacts on the Contacts list and then selecting Send E-Mail from the Bulk Contact Operations menu will open your client Email application with the recipient for the message auto-populated in the application’s Send To field.

Tagging contacts in CRM3® is an easy way to sort and identify contacts in the system that will help you search for and locate them quickly. Tags are either one word or brief notes that describe different associations that you may want to make with that contact in your system so that you can easily search for them or build a Contact Group around that association. You can tag contacts individually or in a bulk operation (multiple contacts at once),

To Tag an Individual Contact

  1. Login to CRM3® using your username and password
  2. Click the “Contacts” Tab, or alternatively, type the name of the contact to whom you would like to attach a Tag in the search field located in the top right-hand corner of the CRM3® application screen and hit enter.
  3. If you clicked the “Contacts” Tab, click the Search button beneath this tab. Type the name of the contact to whom you would like to attach a Tag in the search field and hit enter.
  4. From the list of results that appears after using either of the above-mentioned search fields, click the name of the contact to whom you would like to attach a Tag.
  5. Locate the “Tags” App at the bottom of the contact record that appears after selecting a contact.
  6. In the field at the top of the App, type the word or brief note that will create a relevant associative tag for this contact. If it is a tag that has already been added in the system to another contact, CRM3® will automatically recognize it and list the existing tag beneath the field in which you are typing, in this scenario use the down arrow on your keyboard and hit enter. If you are adding a new tag, simply hit enter once you have finished typing.

To Tag a Group of Contacts

  1. Login to CRM3® using your username and password
  2. Click the “Contacts” Tab.
  3. Click the Groups button.
  4. Select the Group you would like to tag in bulk by clicking the radio button located directly to the left of the Group name in your list of groups.
  5. From the Group Operations drop-down menu at the top of the screen, select “Tag Contacts.”
  6. In the field of the Bulk Tag window that appears, type the word or brief note that will create a relevant associative tag for this contact. If it is a tag that has already been added in the system to another contact or group of contacts, CRM3® will automatically recognize it and list the existing tag beneath the field in which you are typing, in this scenario use the down arrow on your keyboard and hit enter. If you are adding a new tag, simply hit enter once you have finished typing.

To Tag a Multiple Contacts from a General Search

  1. Login to CRM3® using your username and password
  2. Click the “Contacts” Tab.
  3. Click the “Contacts” Tab, or alternatively, type the criteria (eg. Company, City, Province/State, Country) of the contacts to whom you would like to attach a Tag in the search field located in the top right-hand corner of the CRM3® application screen and hit enter.
  4. Select the contacts you would like to tag in bulk by clicking the radio button located directly to the left of the Group name in your list of groups. If you want to tag all contacts in the search results, or if you would like to select all contacts in the search, simply click the radio button that appears above all others in the search results (Note: if the Search results are multiple pages long, you will need to click the words “Select All Contacts in the Search” in the yellow message box that will appear).
  5. From the Bulk Contact Operations drop-down menu at the top of the screen, select “Tag Contacts.”
  6. In the field of the Bulk Tag window that appears, type the word or brief note that will create a relevant associative tag for this contact. If it is a tag that has already been added in the system to another contact or group of contacts, CRM3® will automatically recognize it and list the existing tag beneath the field in which you are typing, in this scenario use the down arrow on your keyboard and hit enter. If you are adding a new tag, simply hit enter once you have finished typing.

Selecting Contacts on the Contacts list and then selecting Tag Contacts from the Bulk Contact Operations menu allows you to associate a group of individual Contacts with a Project and Process Type using the Distribute Contacts dialog, illustrated below.This related to lead handling. You can distribute leads by Round Robin (the next person on a list), or “Least Busy”, or all leads are sent to one person. Follow these steps to distribute Contacts.

  1. Select a Project from the Project list, choose the Assignees for distribution from the Assignees list, select the Process Type with which to associate the Assignees from the Process Type list and click OK to perform the Bulk Distribution.

Selecting Contacts on the Contacts list and then selecting Add to Projects from the Bulk Contact Operations menu allows you to associate a group of individual Contacts with multiple Projects using the Add Contact to Projects dialog, illustrated below.

  1. Simply select the Projects with which to associate the Contacts that you’ve selected and then click OK to associate the Clients with those Projects.

Selecting Contacts on the Contacts list and then selecting Record Note from the Bulk Contact Operations menu allows you record a note to those Contacts using the Record Bulk Note Editor, illustrated below. Follow the steps below to record a Note.

  1. Select a Notebook with which to associate the Note from the Notebook list.
  2. Select the type of Note that you want to create from the Note Type list. Available options are Phone, Email and General.
  3. Use the word process to compose the new Note, using the formatting icons on the menu bar to configure it.
  4. Click OK to generate the new Note. A Bulk Note Confirmation window, shown here, is displayed to indicate that the new Note was successfully created. Click OK to continue.
  5. Click Cancel to exit the Record Bulk Note Editor without composing the new Note.
