Selecting Groups beneath the Contacts tab displays the Contact Groups screen, illustrated below. The Groups feature allows you to gather together contacts from similar (or the same) organizations or demographics. Groups are displayed on a My Groups list, with the Group’s Name, Created (date the Group was created), Approx. Members and Membership Locked (whether or not additional members can be added to the Group) status shown. 
Clicking a Group on the My Groups list displays the following pop-up window, which provides you with additional options when working with Contact Groups. 
Click Open Contacts to open the Contact Group with the Group’s first Contact’s Contact Card displayed, as shown in the following illustration. 
Navigate through the Contacts within the Group by clicking Previous Contact or Next Contact.
Click Possible Duplicates to search through the Group for possible duplicate Contacts. If possible duplications are found, the following screen is displayed, allowing you to resolve them.
Select a contact on the Possible Duplicates list to merge with the current Contact using the illustration below or click Finish to indicate that the Contact is not a duplicate. During a merge, all associated information (e.g., business processes, history) from the duplicate will be moved to the current contact. 
Select the check boxes from the different sets of Contact information that you want to use for the Contact and then click Merge Contact to merge the Contact information, or click Mark as Non-Duplicate to indicate that they are two different Contacts.
Click List Contactsto open the Contact list for the Group as described at the beginning of this section of the document.
Click Edit Group to edit the Contact Group using the Contact Group Editor, illustrated below, where you can make modifications to an existing Contact Group. 
Modify the name of the Group in the Name text field, select or deselect the Lock Membership checkbox so you can add additional members or lock the Group so no new members can be added, and modify the Conditions that have been established for the Group, if necessary. Then click Save to save your changes to the system or click Cancel to close the editor without making any changes.
Click Share Group to display the Group Sharing screen, illustrated below, which is used to share a Contact Group with other Users of the system.
Click Delete Group to delete the Contact Group. The Delete Group window, illustrated below, is displayed to ensure that is your intention.
Click OK to remove the Contact Group from the system or click Cancel to close this window without deleting the Contact Group.
CRM3® allows you to mark any of your contacts as a Favorite. Designating a contact as a Favorite will allow you to view their individual profiles instantly upon entering the Contacts section in CRM3®.Please refer to the Editing Contact Information section of the document for details on designate a Contact as a Favorite.
Selecting Tab Contacts on the Group Operations list displays the Bulk Tag dialog, illustrated below, which allows you to create a unique name for the Contacts you are tagging.
Simply enter a distinguishing name for the tag in the Tag Name text field and click OK to tag the Contacts.
The Bulk Tag Confirmation window, illustrated below, is displayed to indicate that the tagging operation was successful.
Click OK to complete the tagging process.
Selecting Record Note from the Group Operations menu displays the Record Bulk Noteeditor, a word processor unique to CRM3®, which allows you to send a note to all members of a Contact Group. Follow the steps below to record a Note to all members of a Contact Group.
The following formatting options are available from left to right on the menu bar:
Make text Bold, Italic, Underscore or Strike-Through; align text Left, Center or Right; create a Bulleted List or a Numbered List; select a specific Font; adjust the Size of the text;Â change the Color of highlighted text, change the Background Color of the Note; add a Hyperlink, remove a Hyperlink; paste as Plain Text, paste from Word.
Note: Any Notes added here will be displayed within the Historyportion of each member of the Group’s Contact Card.
- Select a Notebook with which to associate the Note from the Notebook list.
- Select the type of Note that you want to create from the Note Type list. Available options are Phone, Email and General.
- Use the word process to compose the new Note, using the formatting icons on the menu bar to configure it.
- Click OK to generate the new Note. A Bulk Note Confirmation window, illustrated below, is displayed to indicate that the new Note was successfully created.

- Click Cancel to exit the Record Bulk Note Editor without composing the new Note.
Click a Contact’s name on a Contacts list displays the Contact Card for the Contact, as shown in the following illustration, which allows you to make modifications to a Contact’s General Information as well as designate them as Favorites, associate them with Project Spaces, assign them Tags, associate them with Business Processes, add Notes specific to them, create Tasks for them, add Additional Information pertaining to them and associate Files with them. You can have multiple Contacts open at once, with each open Contact being displayed on the Contacts menu bar. Follow the steps below to work with a Contact’s Contact Card.
- Click  to designate the Contact as a Favorite Contact. The Contact will be displayed on the Favorites list whenever you select the Contacts tab for quick access.
- Click Edit Contact or click  within the General Information portion of the screen to modify the information you have entered for the Contact using the Add Contact screen, or click Close Contact to close the Contact Card for the Contact.
- Click  within the Business Processes portion of the screen to add a new Business Process using the Add Business Process dialog, illustrated below.
- Select a Process Type from the Process Type list, enter a name for the Process in the Process Name text field, enter a closing value for the process in the Closing Value text field, select a Project with which to associate the Process from the Project list and select an assignee for the Process from the Assignee list. Then click OK to associate the Client with the Business Process.
- Click  in the Projects Spaces portion of the screen to associate the Contact with existing Projects. Please refer to the Adding Contacts to Projects section of the document for details on associating Contacts with Projects.
- Click  in the Tasks portion of the screen to display the Activity Editor for creating a new Task. Please refer to the Creating Contact Tasks section of the document for details on working with the Activity Editor.
- Click  within the Additional Information portion of the screen to add an Additional Information Template with which to associate the Contact using the Add Information Templates dialog, illustrated below.
- Select an available Information Template from the Available Templates list, enter a group name in the Group Name text field, if desired, and click OK to add the new Template to the Additional Information portion of the Contact’s Contact Card.
Note: Closing Value is the value of a closed deal. That is, if a prospective client is interested in a condominium valued at $500,000, then that is the closing value if the deal goes through. It is used for receivables pipeline reporting.
Note: If you are designated the Assignee, you will receive a Notification Email at the time that the assignment is made.
The import dialog allows you to import contacts from a growing number of sources, including Microsoft Outlook, Calyx Point and CSV format. From the “Contacts/Add New” section click on the "Import" button to get started. Once your file has finished uploading to our servers, a ticket will be entered into the import queue. The time the import takes will vary by the number of contacts in the file. You will receive a short email notification when the import has completed.
Importing from Microsoft Outlook
You can bring in your contacts from Outlook by following these steps:
- Open Microsoft Outlook, and from the menu bar select FILE > IMPORT AND EXPORT.
- In the "Choose an action to perform" selector, choose "Export to a file". Click next.
- In the "Create a file of type" selector, choose "Comma Separated Values (DOS)". Click next.
- In the "Select folder to export from" selector under "MailBox" choose "Contacts". Click next
- Choose a location and name for the file (e.g., "C:\outlookexport.csv"). Click next.
- Ensure that "Export Contacts from folder: Contacts" is checked and click Finish.
- Use the Import Contacts dialog in CRM3®, to upload the file you saved in Step 5.
Importing with Our Custom CSV Format
If you have some contact data that you want in CRM3® you can put it all into a CSV file and import the data in bulk.
- Download this sample CSV file.
- Open the CSV file you downloaded in Step 1.
- Enter or paste your existing data into the appropriate columns. Save the file.
- Use the Import Contacts dialog in CRM3®, to upload the file you saved in Step 3.
Importing from Calyx Point
If you have contacts in Calyx Point that you would like to start using in CRM3® follow these simple steps:
- Download this template for exporting from Calyx Point.
- Open up Calyx Point, and bring up the Borrower you want to export.
- From the menu bar select FILE > EXPORT TO > OTHER APP
- In the "Choose a Data Export Template to Use" dialog, find the file you downloaded in Step 1, click Open
- In the "Specify Output Data File" dialog, enter a memorable file name, click Save
- Use the Import Contacts dialog in CRM3®, to upload the file you saved in Step 5.
Selecting Add Task from the Contact Operations menu displays the Task Editor, which is used to perform that action. Please refer to the Creating Contact Tasks section of the document for details on adding a Task for a Contact.
Selecting Add Task from the Contact Operations menu allows you to associate Contacts with existing Process Flows. Please refer to the Process Flows section of the document for details on associating Contacts with Process Flows
Selecting Add Task from the Contact Operations menu displays the Add To Projects dialog, which is used to associate Contacts with Projects. Please refer to the Adding Contacts to Projects section of the document for details on associating Contacts with Projects.
Selecting Send E-mail from the Contact Operations menu will automatically start your client Email application with a blank New Message addressed to the Email Address of the Contact you are working with.
